These terms govern access to and use of Alvara Workspace by faculty, staff, department heads, and campus administrators. Alvara Workspace is provided by Alvara Education under institutional license to your educational institution.

Our Staff Privacy Policy details how your professional data is handled as part of this service.

1. What Alvara Workspace Is

Alvara Workspace is an enterprise campus management platform designed for educational institutions. It enables authorized staff and faculty to record attendance, manage academic timetables, oversee admissions, process leave and student applications, publish institutional notices, manage fees, and coordinate campus operations.

Alvara acts as a software service provider and data processor to your educational institution. Your institute is the data fiduciary that controls student and staff records.

2. Authorized Personnel & Roles

Access to Alvara Workspace is restricted exclusively to authorized personnel whose accounts have been provisioned by an institution administrator. Accounts cannot be created independently by the general public.

  • Role-Based Access: Your account permissions (Teacher, Department Head, Warden, Transport Manager, Superadmin) determine which records and modules you may access.
  • Official Purpose: You may only access, review, and input records required for the discharge of your official institutional duties.

3. Account Security & Credentials

You are responsible for safeguarding your login credentials. You must:

  • Keep passwords confidential and never share credentials with colleagues, students, or third parties.
  • Enable two-factor authentication (2FA) if enforced by your institution.
  • Immediately report any unauthorized account activity or security concern to your campus administrator and security@alvara.education.
  • Log out of shared campus workstations after completing your administrative tasks.

4. Student Data Confidentiality

As an educator or institutional staff member, you have access to sensitive student information, including attendance, personal contact details, grades, fee statuses, and internal disciplinary notes.

  • Duty of Confidentiality:You must maintain strict confidentiality of all student and institutional records in accordance with the Digital Personal Data Protection Act (DPDP Act) and your institution's privacy policies.
  • No Unauthorized Export: You may not copy, extract, export, or distribute student records outside of authorized institutional reporting channels.

5. Acceptable Use & Prohibited Conduct

When using Alvara Workspace, you agree not to:

  • Enter false, fraudulent, or manipulated attendance, marks, or financial records.
  • Attempt to bypass access controls, probe system vulnerabilities, or tamper with institutional data.
  • Send unauthorized commercial promotions or inappropriate communications through official notification channels.
  • Reverse engineer, decompile, or copy the Alvara Workspace software architecture.

6. Intellectual Property

The Alvara Workspace platform, software interface, proprietary algorithms, marks, and design systems are the exclusive intellectual property of Alvara Education. These terms grant authorized personnel a limited, non-exclusive, non-transferable right to access the software during the institutional subscription term.

7. Account Termination & Offboarding

Your access to Alvara Workspace terminates automatically when your employment or affiliation with the institution ends, or when revoked by your campus administrator. Alvara reserves the right to suspend accounts that violate security standards or institutional agreements.

8. Disclaimers & Service Availability

Alvara provides the workspace service on an enterprise software-as-a-service basis with target high availability. Scheduled maintenance and critical security updates are conducted with advance notice where feasible. Institutional dispute resolutions and commercial service level agreements are governed by the master agreement between Alvara Education and your institution.

9. Governing Law & Jurisdiction

These terms are governed by and construed in accordance with the laws of India. Any legal proceedings arising out of these terms shall be subject to the exclusive jurisdiction of the courts at Indore, Madhya Pradesh.
